MyZipApply.com (“we,” “us,” or “our”) is operated by Zipapply LLC and is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, share, and protect information gathered from users (“you” or “candidate”) of our services, in compliance with applicable recruiting regulations and privacy laws.

1. Information We Collect

Personal Information. When you create an account, upload a resume, record a video, or interact with our services, we may collect:

• Your name, email address, password, and (optionally) phone number
• Resume contents, including employment history, education, skills, and certifications
• A short video introduction (audio + visual recording, hosted by our video-hosting provider on our behalf)
• Job-search preferences (target titles, target industries, work-mode preference, home zipcode, search radius, target hiring-manager titles)
• Notes, ratings, and pipeline-stage information you record about hiring managers in your outreach list
• Payment-related information when you subscribe or buy credit packs — processed and stored by our third-party payment processor; we do not store your full card number on our servers

Automatically Collected Information. We may collect information about your device, IP address, browser type, and usage data when you interact with our site. This data is used to improve our service and does not by itself identify you personally.

2. How We Use Your Information

MyZipApply.com uses collected information to:

• Match your candidate profile with job opportunities sourced from major job boards via our job-listing aggregation provider
• Help you identify and reach hiring managers at companies of interest, using third-party people-data and contact-aggregation services
• Generate AI-drafted cover letters, outreach cadences, and elevator-pitch scripts personalized to you and the recipient (using a third-party AI text-generation provider on the back end — we do not permit our AI provider to train models with your data)
• Communicate with you about your account, billing, job listings, and platform updates
• Analyze usage to improve service functionality, site security, and user experience
• Comply with legal obligations and industry regulations in recruiting and employment

3. How We Share Your Information

We may share your information in the following circumstances:

• With Hiring Managers and Recruiters. When you choose to send an outreach message or share your video-resume profile link, the recipient receives a public-share URL to your resume + video. You control which contacts receive your profile, and only the data you have published to your profile is visible.
• With Service Providers. We share necessary information with the third-party service providers that power the Service — including payment processors, video hosting, transactional email, cloud hosting, AI text-generation, people-data and contact-aggregation services, and job-listing aggregation. Each provider processes data only as needed to deliver its piece of the service, under appropriate data-processing agreements.
• Legal Compliance. If required by law, subpoena, or court order, we may disclose information to regulatory bodies or authorities to fulfill legal obligations.
• Business Transfers. If Zipapply LLC is involved in a merger, acquisition, or sale of all or part of its assets, your information may be transferred to the successor entity. We will notify you of any such change.

We do not sell your personal information to advertisers or data brokers.

4. Data Storage and Security

We implement technical and organizational measures to protect your data against unauthorized access, loss, and misuse. Your information is stored on encrypted servers operated by our cloud-hosting provider, and we restrict access to authorized personnel only. Passwords are stored using one-way cryptographic hashing — we cannot read your password.

No system is 100% secure; in the unlikely event of a data breach affecting your information, we will notify you and applicable regulators in accordance with applicable law.

5. Data Retention

Your data is retained only as long as necessary to fulfill the purposes outlined in this policy or to comply with legal requirements (such as financial-record retention for tax purposes). When you delete your account, we delete or anonymize your personal information within 30 days, subject to legal exceptions.

Hiring-manager records that you have unlocked into your private outreach list are removed when you delete your account. The underlying master directory record (without any seeker-specific data) may persist for other users.

6. User Rights

In compliance with applicable data privacy laws (including CCPA and GDPR where they apply to you), you have the right to:

• Access: Request a copy of your personal information
• Rectify: Correct any inaccuracies in your data (most fields are editable directly from your account)
• Delete: Request deletion of your account and information (subject to legal retention exceptions)
• Restrict Processing: Limit the ways we use your data
• Object: Object to data processing based on our legitimate interests
• Data Portability: Request a copy of your data in a structured, machine-readable format (JSON)
• Withdraw Consent: If we are processing your data based on your consent, withdraw that consent at any time

7. Hiring-Manager Removal Requests

If you are a hiring manager and your contact information appears in our master directory, you have the right to request removal at any time. Email privacy@myzipapply.com from the email address that appears on the record (or any verifiable contact channel) and we will remove your record from the master directory and from all seeker outreach lists within 7 business days.

8. Cookies and Tracking Technologies

We use cookies and similar tracking technologies (such as session storage and local storage) to keep you signed in, remember your preferences, and analyze site usage. You can manage cookies through your browser settings. Disabling cookies may prevent some features (such as login persistence) from working.

9. International Data Transfers

Our servers and most of our service providers are located in the United States. If you access MyZipApply.com from outside the United States, your information may be transferred to, processed in, and stored in the United States in compliance with applicable international data-protection laws.

10. Children’s Privacy

MyZipApply.com is not intended for children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us at privacy@myzipapply.com and we will delete that information.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When changes are made, we will update the “Last Updated” date at the top of this page and, for material changes, notify you by email or through an in-app notice as required by law.
